How to schedule Instagram posts and bring them to your other channels
To schedule an Instagram post, connect a Business or Creator account to a scheduling tool, write the caption and add your photo or video, then pick a date, time and timezone. The tool queues the post and sends it at that time. In Pacten Studio the same screen also lets you tailor the post for your other channels.
Before you start: the account type
Instagram only lets outside tools publish to professional accounts. If yours is a personal account, switch it first. In the Instagram app, open Settings, then Account type and tools, then Switch to professional. It keeps your posts and followers.
If you also post to Facebook, the same rule applies in a different shape: Facebook publishes to a Page, not to a personal profile. Studio asks you both questions before it opens the connection, because a link made with the wrong account type fails without any message from the network.
Step 1: Connect the account
Open the connected accounts page in Studio and press Connect on Instagram. Studio opens a linking page, you sign in there and approve access, and the account appears in your list. Studio never holds your network password.
Twelve channels connect today: Instagram, Facebook, LinkedIn, TikTok, YouTube, Google Business, Threads, Bluesky, Pinterest, Reddit, Snapchat and Telegram. X is coming, but it cannot be connected yet.
If the account belongs to a client, you can send them an invitation to connect it themselves instead of asking for their login.
Step 2: Write the caption once
Start in the Studio composer with one caption and your media. Write it as you would for your main channel. You can draft the text yourself, or ask Studio for a draft built from your business details, then edit it. Every draft is yours to change before anything is queued.
Pick the channels this post is for. The caption you wrote becomes the default for all of them.
Step 3: Tailor it per channel, and read the checks
Each selected channel gets its own column. You can leave it on the shared caption or write a different one for that channel only. Each column shows READY, or NEEDS followed by a number, before you queue anything.
The checks catch things that otherwise fail hours later, when the post is meant to go out:

A channel with a hard problem, such as a caption over the limit or a file the network refuses, blocks the post, and the message says why. Softer notes, such as a likely crop, are shown but do not stop you. Fix the caption or the file, and the column turns READY. For YouTube you also set the title in that channel's column, and for Instagram you can choose the cover.
A short example: the Instagram caption runs to 900 characters with a paragraph of hashtags. For Bluesky you write a one-line version of 200 characters. Both are stored on the same post, and each channel gets its own text.
Step 4: Add a first comment
Many people keep the hashtags and the link out of the caption and put them in a first comment instead. Studio has a field for this. The first comment is saved with the post and sent right after it publishes, on the networks that take one. It stays optional.
Step 5: Schedule in your timezone
At the bottom of the composer, switch from Now to Schedule. Pick a date, a time and a timezone. Studio fills in the timezone your browser reports and marks it as detected, and you can change it, which matters when you schedule for a client in another region.
Under the date you will see a best-time suggestion for each channel you picked. It comes from that channel's own post history, so it only appears once the account has at least 10 posts to measure. Until then, Studio says there is not enough history yet and leaves the time to you. Pressing the suggestion fills in the date and time.
Then press Schedule. If your role needs sign-off before posts go out, the button reads Submit for approval instead, and someone with release rights takes it from there. You can also save the post as a draft and come back to it.
What happens after you post natively
Not every post starts in a scheduler. Sometimes you post a Reel straight from your phone. Studio checks your connected accounts for new posts, and a post made outside Studio shows up in a queue at the top of the Posts page, headed Promote to the other channels.
Each card shows the caption and thumbnail, and a button naming the channels it has not reached, such as Promote to TikTok + LinkedIn. One tap opens the composer with your other channels already chosen and the caption and media filled in.
That is where you stop. Read each channel's caption, adjust it, check that every column says READY, and press post or schedule. A person presses the button each time. Studio does not copy the post anywhere by itself, and a post is only cleared from the queue once the new post exists.
A few details are worth knowing:
- The queue appears when you have at least two connected channels, since otherwise there is nowhere to send the post.
- It looks back 30 days.
- If a network's copy of the video can no longer be fetched, the caption and channels still fill in, and the composer tells you the media is missing so you can add the file again.
- "Not this one" hides a card you do not want to repost.
